Introduction
The Patient tab allows the practice to send an email and SMS blast to all active patients. Within this tab users can also Interact with patients individually and create a customized group of patients to message.
Viewing the Patients tab
Click on the Patients tab. There are 3 columns within the Patients tab.
- The Left column (Patients) - List the groups that your patients are organized into.
- The Middle column (Select) - List the current patients inside of the selected group from the left columns.
- The Right Column (Customer Group Detail) - Shows Information (Details) about your selection (Patient Demographics/Details, Tasks, Notifications, & Settings.)
Groups
Here you will find your list of custom-created groups used to market to specific Patients and or Leads. When clicking the edit button in the group, you will see a list of Leads and Patients that have sync'd into your Legwork Practice Marketing account. Simply search and click the plus sign to add a patient to a group.
As Leads complete their configured online forms, they will automatically be added to the specific group to which the form was configured while being created.
All Patients - All active patients.
All Leads -Leads coming in from an online source.
When a patient or lead fills out an online appointment request or web form, they provide information about specific services you offer. These individuals are typically categorized as ‘all leads,’ indicating that they are not existing patients from your practice management software but rather potential leads from other sources.
Groups - Custom group allows you to organize patient leads into categories of your choice.
Add a Group - This is where you will create your custom groups for marketing campaigns.
Creating and Managing Lead Groups
- Select "Add a Group" in the Left column.
- Enter in a name for the new group
- Write a brief description for this group.
- Click Create Group.
- The Group will appear under the list of Groups. Next to the new group name click Edit. This will allow you to manually add or subtract (remove) leads and/or patients to and from the group.
- Click Update Group to save your changes.
Viewing Individual Patient Details
The Patient Details screen displays information that has been synced over from your practice management system. This includes upcoming appointments, contact information, and more. All outgoing correspondence that has been sent to the patient is listed here as well.
Correspondence Status - The status of the correspondence sent to the patient is located on the right panel within the patient detail view. Messages that are scheduled to be sent in the future show a status of pending. Correspondence marked as pending can be canceled by clicking on the red "X" located next to the pending status. Click more info to view the communication detail which shows more information and visual proof of the correspondence.
Sending a Bulk Email Message
- Select "All Patients" in the Left column. Selecting all patients will group all active patients into the customer group. (The customer group is the group that will receive the bulk Email or SMS.)
- In the Right column select the Paper Airplane Icon to start creating the email.
- Click the "Blank Email Template" dropdown to select an email template to send. The message subject and body of the email will populate with content.
- *Note: If you create an on demand email blast form the "Blank Email Template Selection," you must add a subject line in order for the email "blast" to send successfully.
- To view the email before sending, scroll down and click Preview on the bottom left corner.
- Click Send Email on the bottom right corner. Note: To schedule the delivery for a later date and/or time click Send Now to view the Delivery dropdown and select "send later"to select a later date and time.
Sending a Bulk Text Message
Please note: When sending a group SMS to a group of 200 or more recipients at one time, your account will be billed for 0.01 per recipient. After clicking send SMS if applicable, Legwork will display the cost associated with sending the message, and ask that you approve.
- Select "All Patients" in the Left column. Selecting all patients will group all active patients into the customer group. (The customer group is the group that will receive the bulk Email or SMS.)
- In the Right column select the text bubble Icon to start creating the text message.
- Click the "Blank SMS Template" dropdown to select an SMS template to send. The message body of the email will populate with content. Note: Legwork's Short Message Service (SMS) currently only supports sending 160-character text-only messages. Multimedia messaging services (MMS) such as images, videos, and GIFs are not supported at this time.
- To view the text message before sending, scroll down and click Preview on the bottom left corner.
- Click Send SMS in the bottom right corner. Note: To schedule the delivery for a later date and/or time, click Send Now to view the Delivery dropdown and select "Send Later" to select a later date and time.

- Write a brief description for this group.
- Click Create Group.
