Legwork has incorporated a functionality to automatically add an opt-in checkbox whenever a phone number is collected in a form to ensure compliance with HIPAA rules. Failure to obtain opt-in consent can lead to HIPAA violations, legal consequences, and potential patient complaints or data breaches. For example, a dental practice regularly collects patient phone numbers through online appointment forms and reminder notifications. To ensure compliance with HIPAA and TCPA regulations, the practice implements an automatic Opt-In checkbox whenever a phone number is requested. This helps the practice obtain explicit consent from patients for receiving appointment reminders and marketing communications, reducing the risk of regulatory violations while ensuring patients are informed and agree to being contacted. Please note that these features will be available for general release on 10/17/24.
Best Practices:
- This feature can be accessed by going to Legwork Paperless Forms> Form Builder > Select a Form > Drag and Drop the Phone Number Component, where the opt-in checkbox will automatically be added in the bottom of the form.
- Patients or prospects submitting forms must check the box; otherwise, the form will not be submitted. This is aligned with other opt-in checkbox implementations across Denticon.
- Patients or prospects will still have the option to opt-out using the unsubscribe feature in all Legwork communications.
- If multiple phone numbers are present, the system will register all as opted-in.
